Legal Administrative Assistant



The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world seeks an experienced Legal Administrative Assistant for our Memphis office to provide administrative services for over 5,100 FedEx pilots.  Under the direct supervision of the Office Supervisor, the Legal Administrative Assistant provides consistent copying and filing support; registers and schedules pilots for retirement seminars; builds retirement binders for seminars (copying and binder/packet building); prepares for MEC meetings; takes minutes during MEC meetings; prepares expense reports for Vice Chairman; maintains committee archive filing; provides switchboard coverage; maintains resolution library; and, occasionally runs errands for the FedEx MEC office.  They perform legal administrative functions for the FDX MEC Contract Administration department:  maintain electronic and paper files for Grievances, finalize draft grievances, maintain Representation calendar, scan attorney notes for electronic filing; and, for the Retirement & Insurance (R&I) department:  schedule pilots for retirement seminars, maintain materials for retirement seminar packets, assemble packet materials and send them out to pilot participants, book venues for R&I events; and, order and maintain supplies for both.  General MEC responsibilities include assisting Vice Chair with expense reports; taking minutes during MEC meetings; prepping for MEC meetings; BOD support; maintaining committee files; receiving and distributing Scope reports; assisting Office Supervisor with MEC-driven non-profit charitable organization; providing phone coverage for Receptionist; and, providing backup for travel arrangements and/or reservations for management and staff members, including bookings for meetings.

Minimum Requirements:


  • High school diploma required, some business school or college courses preferred; or, the equivalent combination of education and experience.
  • Two (2) years prior or related experience required, three (3) or more years strongly preferred.
  • Accurate proofreading skills required.
  • Fast and accurate note taking skills strongly preferred.
  • Legal and/or labor law experience/knowledge strongly preferred.
  • Software:  Microsoft Office Outlook, Word, Excel, SharePoint, and PowerPoint.
  • Word processing speed of 45 wpm required, 50+ strongly preferred.
  • Excellent communication and interpersonal skills, oral and written, to work effectively with all levels of contacts, internal and external.

Occasionally required to move, raise, reach, and/or retrieve binders, books, boxes, and files up to ten (10) pounds (lbs.).  Sporadically, may be responsible to move, raise, reach, and/or retrieve binders, boxes, cases, and/or files weighing as much as 25 lbs.  (Assistance may not always be available.)
