The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world seeks an experienced Administrative Assistant for our Atlanta office to provide administrative services for over 12,700 Delta pilots.  Under the direct supervision of the Office Supervisor, the Administrative Assistant provides support for the DAL Master Executive Council (MEC) and contract administration, preparing documents for arbitrations and grievances and entering and maintaining updates for cases in the Association’s Dispute Tracking System (DTS); drafts general correspondence; types a wide variety of letters, reports, briefs, contracts, and forms; transcribes letters and documents; proofreads documents; answers incoming phone calls, routing calls or visitors to the appropriate persons; provides answers to general questions; supports committees; distributes mail; makes hotel reservations and plans in-house meetings; assists in the compilation of data for reports, MEC/LEC meetings (as requested), MEC Committees, papers, and speeches; creates exhibit books for System and Benefit Review Board hearings; establishes and maintains current and up-to-date files, filing and purging materials as directed and in accordance with established Document Management Program (DMP) procedures and retention schedules; and, serves as the backup to the receptionist and legal administrative assistant.  They also provide general administrative support to the office.  Success in this position requires strong organizational skills, attention to detail, and strong customer service acumen.

Minimum Requirements:

  • High school diploma required, some business school or college courses preferred; or, the equivalent combination of education and experience.
  • Three years prior or related experience required.
  • Fast and accurate note taking skills required.
  • Legal and/or labor law experience/knowledge strongly preferred.
  • Software: Microsoft Office Word, Excel, SharePoint, and PowerPoint.
  • Word processing speed of 50 wpm required, 60+ strongly preferred.
  • Excellent communication and interpersonal skills, oral and written, to work effectively with all levels of contacts, internal and external.

Regularly required to sit, stand, bend, reach, and move about the office.  Also includes occasional bending, stooping, squatting, and/or pushing and pulling or moving, e.g., to pack, unpack, and/or move cases.

Required to move, raise, reach, and/or retrieve binders, books, boxes, and files up to ten (10) pounds (lbs.).  Sporadically, could be responsible to move, raise, reach, and/or retrieve binders, boxes, cases, and/or files weighing as much as 25 lbs.  While on travel, could be responsible to move, raise, reach, and/or retrieve luggage weighing as much as 50 lbs.   (Assistance may not always be available.)
