    Administrative Assistant



    The Air Line Pilots Association, International, the largest airline pilots union in the world and the largest non-governmental aviation safety organization in the world, seeks an experienced Administrative Assistant for the JetBlue Master Executive Council (MEC) office in Rockville Centre, NY representing more than 3,700 pilots represented by JetBlue.  S/he provides administrative support to the office by answering phones; receiving visitors to the office; provides general information, and/or routes callers or visitors to appropriate persons; word processes and proofreads a variety of letters, reports, briefs, contracts, forms, news updates, and the like, related to the work of the office; takes notes at meetings and provides draft for review prior to distribution; assists in the compilation of data for reports; updates the online calendar; opens and distributes incoming mail in accordance with office procedures; assists in maintaining current and up-to-date files, filing and/or purging materials as directed and in accordance with Association policy and procedure and the Document Management Program; duplicates, collates, and distributes a variety of documents, as directed; makes hotel and travel arrangements for all MEC business as directed by the MEC officers and MEC committees as well as coordinates quarterly office meetings.  Responsibilities will require regular communications with member pilots, officers, and committees; Event Planning, Purchasing, and other Association staff; hotels; vendors; and, consultants.  


    Travel: 2 – 5%.

    Minimum Requirements:


    • High School diploma required or the equivalent combination of educaioin and experience.
    • Minimum of two (2) years prior or related experience. Bachelor’s degree may be substituted for experience.
    • Software: Microsoft Word, Outlook, Excel, and PowerPoint.
    • Word processing speed of 45 wpm required, 50 wpm preferred.
    • Must be a self-starter with the ability to work independently, without close supervision, and provide administrative solutions to various issues as they arise.
    • Strong attention to detail and organizational and follow-through skills.
    • Strong interpersonal and communication skills, oral and written, required.
    • Effective interpersonal skills for interaction with member pilots and staff.

    Constantly operates a computer. Regularly required to maintain a stationary position, move about the office, determine what others have said or written, and converse with others and exchange accurate information.


    Regularly required to sit, stand, bend, reach, and move about the office and the local metropolitan area. May also include occasional bending, stooping, squatting, and/or pushing and pulling or moving, e.g., to pack and/or move case(s).


    Occasionally required to move, raise, reach, and/or retrieve binders, boxes, and files up to ten (10) pounds (lbs.). Sporadically and/or while on travel, could be responsible to move, raise, reach, and/or retrieve binders, boxes, cases, files, and/or luggage weighing as much as 50 lbs. (Assistance may not always be available.)
