    Administrative Assistant


    The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world (representing over 61,000 pilots at 34 U.S. and Canadian airlines) seeks an Administrative Assistant for our Herndon, Virginia office. S/he provides administrative support for the department staff and committee members supported by the department, including typing, filing, making travel arrangements, tracking project budgets, proof reading, and preparing various documents for public distribution. S/he also works with other administrative assistants in the department to develop and implement office procedures and processes and assists in meeting and event planning and execution. The individual is responsible for timely updates of documents used by other staff members and must be able to accept ad-hoc assignments during the course of regular duties assigned. Working in a team environment where multiple administrative assistants coordinate continuously to ensure the success of the organization and understanding how to prioritize work to ensure all tasks are completed on time and to a high degree of accuracy are keys to success.


    Travel: 2 – 3%.


    Applicants are advised that relocation of our Washington, D.C. metropolitan area offices is in progress, from offices near the White House and in Herndon, Virginia, to Capitol Hill and Tysons Corner, Virginia. Anticipated completion in 2019.

    Minimum Requirements:


    • High school diploma required, with some post-secondary education and/or college course work preferred.
    • Two (2) years of related experience required or the equivalent combination of education and experience.
    • Solid writing and editing skills.
    • Effective interpersonal and communication skills for successful interaction with all levels of contacts, internal and external.
    • Excellent team work, organization, and task prioritization skills required.
    • Experience proof-reading, formatting, and submitting letters and other documents to federal agencies preferred.
    • Experience providing meeting planning support for small, medium, and large meeting groups desired.
    • Basic understanding of aviation industry terminology a plus.
    • Experience maintaining web-based applications strongly preferred.
    • Software: Microsoft Outlook, Word, PowerPoint, and Excel.
    • Accurate word processing speed of 40 wpm required, 45+ wpm preferred.
    • Able to work flexible schedule on short-notice as needed.

    Required to move, raise, reach, and/or retrieve binders, books, boxes, and files up to ten (10) pounds (lbs.). Sporadically, could be responsible to move, raise, reach, and/or retrieve binders, boxes, cases, and/or files weighing as much as 25 lbs. (Assistance may not always be available.)
